Turn “looks good” into a defined next step.
An estimate approval should preserve the version reviewed, confirm scope and price, and state exactly whether the customer is approving scheduling, material ordering, a deposit, work commencement, or preparation of a separate contract.

The short answer
Acceptance needs a version, a meaning, and a handoff.
A customer cannot reliably approve a moving target. Give the estimate a number and revision date, make scope and exclusions reviewable, and preserve the exact attachment set presented for signature.
Then define the consequence of acceptance. An approved estimate is not automatically a complete home-improvement contract. Required notices, cancellation rights, payment restrictions, dates, and other terms may still belong in a separate or incorporated agreement.
Approval workflow
Describe, review, sign, then hand off.
- 01
Freeze the estimate version
Assign a number, revision, issue date, expiration, customer, property, estimator, and attachment list.
- 02
Make the scope observable
Use locations, quantities, dimensions, methods, materials, finishes, completion standards, protection, cleanup, and disposal.
- 03
Show the complete price picture
State fixed, unit-price, allowance, or T&M treatment; options; discounts; tax; permit; deposit; milestones; and balance.
- 04
Expose assumptions and exclusions
List access, concealed conditions, owner responsibilities, unavailable selections, utility work, permits, and work by others.
- 05
Name the effect of approval
Say whether approval reserves a date, authorizes an order, triggers a compliant contract, or permits work to start.
- 06
Preserve and confirm next steps
Deliver the signed record, collect only lawful payments, execute required documents, and confirm schedule and change procedures.
Approval effect
Choose one meaning instead of implying five.
Estimate acknowledged
The customer confirms receipt or interest, but no scheduling, ordering, payment, or work is authorized.
Schedule request
The customer asks to reserve a proposed window, subject to contract, deposit, availability, and written confirmation.
Contract requested
The estimate is selected as the basis for preparing the jurisdiction-compliant final agreement.
Work authorized
Use only when this document includes or properly incorporates every required term, notice, consent, and signature.

Contractor estimate approval
Replace every prompt. If the estimate is an exhibit to a separate contract, identify that contract and keep the documents together.

Completed handyman example
Entry door adjustment and weather-seal package
This fictional small-job example shows how to make the acceptance boundary concrete.
- Included scope
- Protect entry floor; remove worn perimeter seal; adjust hinges and strike for smooth latch; install one specified kerf weather seal and adjustable sweep; test operation; remove debris.
- Fixed price
- $485 labor and standard listed materials, plus applicable sales tax. Price assumes the existing door and jamb are reusable.
- Accepted option
- Add exterior-grade threshold cap for $135 only if field measurement confirms the listed size fits without cutting flooring.
- Excluded
- Door, jamb, sill, framing, lock, paint, flooring, concealed rot, water-damage repair, and permit work.
- Schedule
- Requested week of July 20; one site visit of approximately 3–5 hours, subject to material availability and written confirmation.
- Payment
- No deposit. Approved completed work due after final operation check. Any discovered repair requires separate written scope and price.
- Expiration
- Valid through July 17, 2026. Material pricing and appointment availability must be reconfirmed afterward.
- Acceptance effect
- Customer selects the base scope and requests scheduling. Work begins only after JobSign confirms the appointment and required agreement terms.
Before sending
Run four approval checks.
One current estimate
Supersede old revisions and identify the exact attachments the customer sees.
Options are selected
Do not leave alternates looking included when the customer approved only the base.
Right person signs
Verify the signer can approve the property, company, budget, and work.
Next document is clear
State whether scheduling, deposit, ordering, contract execution, or work follows.
Research basis
A signature does not replace missing contract requirements.
California CSLB describes a thorough home-improvement contract as a written agreement covering how and when work will be done, materials, cost, payment schedule, permits, completion, contractor identity, and warranties; it also says written contracts are required for covered projects over the state threshold. Oregon CCB similarly identifies scope, price, payment terms, dates, conditions, changes, warranties, and signatures, and recommends written agreements even for smaller jobs.
Massachusetts publishes required home-improvement contract language and requires covered contracts over its threshold to be written. The practical lesson is not that every estimate needs identical wording; it is that “approved” should lead into the correct contract workflow for the job rather than masquerade as universal compliance.

Contractor estimate approval questions
Does signing an estimate create a contract?
It can have contractual consequences, but it does not automatically satisfy every required contract term or notice. Use the compliant document and process required for the project.
Should an estimate have an expiration date?
Yes. It creates a review point for pricing, availability, and schedule. Issue a dated revision and obtain fresh acceptance after expiration when needed.
Can the customer approve only one option?
Yes. Make base scope and alternates visually distinct and require an affirmative selection or initials beside every accepted option.
Does approval authorize a deposit or material order?
Only if the document and applicable agreement or law permit it. State the effect explicitly and follow deposit, cancellation, and special-order rules.
